We'll email you a code to confirm it -- it's how you sign in. Backfyl will never send you unsolicited or marketing emails.
Nothing after a minute? Check Junk or Spam. Using a work email? Some workplaces hold emails from new senders where you can't see them.
Still no code? Send your request to your manager without it. They approve you as usual, and your email is kept on your account -- you can confirm it later from the menu.
You're using the installed app, so this just needs your computer's permission.
Add this to your Home Screen, then turn on notifications.
On Android: this works right in Chrome (or any browser) — no extra steps.
On iPhone: this button only works in the app opened from your Home Screen. That's Apple's rule for every iPhone. In Safari or Chrome: Share → Add to Home Screen, then open Backfyl from that icon.
Anyone who signs up with an invite link shows up here -- a push tells you the moment they do. Pick their role and press Approve, or Reject.
Share one link with everyone.
Post it in your staff group chat or email it to the whole team. Anyone can use it, as many times as needed. Each person asks to join and you approve them, so nobody gets in without you saying yes.
Loading the team link…
Works once, for one person. Use it to choose their role in advance, so they don't need approving.
Send this to one person only — it stops working once they've joined.
Change anyone's role, edit their tags, or remove them — all take effect immediately.
Decide exactly what secretaries and members are allowed to do. Admins can always do everything, and this can't be changed. Changes take effect immediately.
Add a new tag any time -- existing members can then add it to themselves from "My tags" below, and it becomes available when filtering recipients.
Checking…
On a new phone, you sign in with this email: we send you a 6-digit code.
Backfyl will never send you unsolicited or marketing emails.
These describe you, so the right requests can be filtered to you. Tap to toggle, then save.
Turn this on if requests here need a date/time -- e.g. an actual roster, not just ad-hoc cover. Once on, posting a request asks for a date/time, and everyone gets a private calendar link.
When on, any active member can see everyone's shifts under Project roster (in the menu) -- not just who can manage it. Off keeps it visible only to admins/managers, same as today.
Staff tap on when a shift starts, take breaks and tap off when they finish, from "Your shift" on their home screen. Anyone you let manage timesheets (Permissions) checks and approves the hours, then downloads them for payroll.
The phone's location is read only at the moment someone taps, never in between, and never stops a tap: if they say no or there's no signal, the tap counts and is marked "No location". Turned off, no location is recorded at all.
Venue locations. A tap within 300 m of a venue's location shows as at that venue; anywhere else shows as "Away from workplace". Phone location inside big buildings can be out by a few hundred metres, so treat it as a guide.
How requests work on this team. Changes apply straight away.
Change your plan, update your card, see invoices or cancel - all on Stripe's own secure page. Nothing about your card is handled here.
Make a one-time link, then open it on the other device — it signs you in there as you, with everything you already have. No new invite needed. This device stays signed in too.
Lost a phone?
On the new phone, point the camera at this code and tap the link. Or copy the link and send it to yourself.
Anyone who opens this link is signed in as you, so only send it to yourself. It works once.
Already set up here? Get a one-time link that logs you straight in on your phone -- no code to type.
Send this to yourself -- text, email, however. It replaces any link that hasn't been used yet, and stops working the moment it's opened on your phone.
Waiting for it to be opened…

Each row becomes an already-decided calendar entry for that person -- no response needed from them, just a heads-up notification.
Tell your manager when you can't work, and ask for leave. Whoever builds the roster sees it; the rest of the team doesn't.
When you can't work
Leave
Approve or decline leave. Approving can take the person off their shifts in that time, so you can find someone else on the Roster.
Approved, coming up
How fast gaps get filled: requests you and the team sent, and roster shifts sent with Find someone or offered up. Medians, so one slow weekend doesn't skew it.
Median time to fill, by week
The certificates your team needs, like an RSA. Keep the expiry dates up to date: you'll be reminded a month before one runs out, and some shifts need them.
The certificates your team needs, and who has what. Say which areas need which in Roster → Venues & areas; anyone without one, current on the day, is flagged on a shift there and isn't asked to fill one.
Everyone's upcoming shifts, uploaded rosters and allocated requests together, in one place.

Your workplace records where your phone is at the moment you tap, never in between. If you say no, or there's no signal, the tap still counts.
Every shift you've tapped or sent, and where each is up to. Tap one to see everything that happened to it, including any change your manager made.
Everyone's hours. Check them, fix anything that's wrong (with a note, which the person sees), approve, then download the spreadsheet for payroll.
Send approved hours to Xero Payroll as draft timesheets, so nobody types them in again. Payroll checks and approves them in Xero as usual.
Who's who in Xero
Match each person to their employee record in Xero. Only matched people's hours are sent.
Weekend hours
Which Xero pay item Saturday and Sunday hours go to, if your weekend rates are separate pay items. Other days go to each person's ordinary pay item. Public holidays aren't worked out here: adjust those in Xero.
Send hours
Every shift allocated to you and every shift you're rostered on, in one feed that updates itself -- nothing to re-add when something changes. Confirm each rostered shift so your manager knows you've seen it.
On iPhone or iPad, the button above opens your Calendar app and offers to subscribe -- tap Subscribe. On a Mac that uses Apple Calendar, press Open in Apple Calendar below. Otherwise (or if that doesn't work), add the link below by hand: iPhone -- Calendar app → Calendars → Add Calendar → Add Subscription Calendar. Google Calendar -- Settings → Add calendar → From URL. Outlook -- Add calendar → Subscribe from web. A calendar app like WeekCal or Fantastical doesn't take this link itself -- it reads whatever's already in your phone's built-in calendar, so once you've added it there, it shows up in those automatically.

Each person you send this to only sees their own private conversation with you — not each other's replies, and not even who else this went to. A request moves to Filled requests (in the menu) the moment it's allocated.
Requests you posted that have already been allocated.
This is a private, one-to-one exchange between you and whoever sent it — only them (and admins) can see your answer. You also can't see who else this was sent to, or how anyone else replied.
